New aXs system at jail will improve productivity An aXs Info Imaging System has been installed at the Lincoln County Law Enforcement Center to streamline operations and improve productivity, according to Lincoln County Sheriff Gerald Lawson. In essence, aXs Info is a flexible, full-featured document management system that captures, stores, retrieves, and manages information. The system integrates easily into existing applications and has the capacity to grow as departmental needs change. Designed for ease-of-use, aXs Info is simple to implement and operate. "We wanted to find a way to get rid of the old paper files in our office and continue our efforts to modernize the sheriff's office and detention facility," according to Sheriff Gerald Lawson. For years, the sheriff's office stored records in three locations, both on site and off site. "The staff spent way too much time searching for documents and records which were often misfiled or misplaced," said the sheriff. "Now, with the new system, we have the ability to automate our records and store them in one place." In his remarks, Lt. David Stevens, records manager for the sheriff's office, said the imaging system will increase efficiency throughout the office, particularly when booking inmates. "Instead of starting a paper file on an inmate, which can eventually expand to hundreds of pages, a staff member will simply enter the information into the imaging system. The electronic file can then be archived, retrieved, printed or e-mailed. Updates are made quickly and easily, with a few keystrokes." The document management system will also boost productivity. "For years, our staff hand-delivered records to other law enforcement agencies and the district attorney, who is more than 20 miles from the sheriff's office. Now that the records can be e-mailed, the staff can focus on more important tasks." In his closing comments, Sheriff Lawson stated, "We're excited to have this new document management system - small, rural counties like ours don't have a lot of resources. AXs Info will give us the capability to access information in a timely manner and compete on a level playing field with other agencies." The aXs Info system was purchased from Simple Solutions Group, an Atlanta-based document scanning services company. In addition to the aXs Info system, Simple Solutions also installed a new server that will allow the sheriff's office to operate independently of the county.
The sheriff's office purchased the system using a $51,305 grant from the Georgia Emergency Management Agency's (GEMA) Homeland Security Grant Local Agency Assistance Committee.
